The khata balances every night. The shelf does not. Somewhere between what was bought, what was sold and what is left, money is going missing, and paper cannot tell you where. It is not a people problem. Paper simply cannot do the arithmetic fast enough for a busy counter. Here are seven signs it is costing you, and what changes with a POS.
1. You find out stock ran out from a customer
The customer asks for the item, the boy checks the shelf, the shelf is empty, and the sale walks out the door. On paper you only discover a stock-out after it has happened. A POS counts every sale down from stock and raises a low-stock alert before the last unit goes, so you reorder on time.
2. Two prices for the same item on the same day
The morning shift charged ৳180, the evening shift charged ৳200, and both were sure they were right. Handwritten price lists drift. With barcode billing the price is attached to the item, so the same product rings up the same way at every counter, every shift.
3. The evening queue is longer than the shop
Writing each item by hand, adding it up, working out the change: at 8 pm on a Thursday that costs you customers who leave rather than wait. Barcode scanning, quick keys and instant receipt printing take an eight-item sale down to a few seconds.
4. You cannot say which items actually make money
Most shops know their best sellers by feel. Very few know their most profitable items, because paper records sales, not margin. A daily profit and top-item report shows which products deserve shelf space and which are just moving.
5. Purchases and sales live in different books
What came in from the supplier is in one notebook, what went out is in another, and reconciling them is a weekend job that never happens. A POS with stock and purchase tracking records the supplier delivery once, and the stock figure updates itself with every sale.
6. Your second branch is a mystery until you visit
